Full-time Program Coordinator

 

 

Job Purpose:  The Program Coordinator is responsible for developing, delivering and managing the Aboriginal Head Start Program to ensure a safe, developmentally and culturally appropriate environment for children.

 

Reports to: GPFC Executive Director

Based at: 10105-97 Ave Grande Prairie, Alberta T8V 0N5

 

QUALIFICATIONS

  • Certification: Level 3 certificate in Early Learning and Child Care

  • Knowledge and appreciation of the Indigenous, language, culture and traditions

  • Provide a current and clear Criminal Record Check

  • Provide a current and clear Alberta Child and Youth Intervention Record Check (including from all provinces of residence in the past 3 years)

  • Minimum of two years’ experience in personnel management 

  • Knowledge of Day Care Licensing and best practices

  • Strong understanding of child development principles

  • Comfortable representing the program in settings such as public forums, community events, and professional gatherings where public speaking may be expected

  • Proven ability to lead a multifunctional and dynamic team environment

  • Able to pivot strategies and priorities using a responsive, strengths-based approach, while being responsive to family and program needs

  • Understanding of financial reporting and budgeting processes, including expenditure tracking, the ability to interpret financial statements, petty cash management, and ensure alignment with approved budgets

  • Experience in writing funding proposals or contributing to fund development efforts

  • Ability to adjust communication tactics to effectively communicate and establish rapport with a variety of personalities, families, staff, peers, leadership and partners

  • Knowledge in parenting programs and family engagement strategies

  • Proficient in the use of computers, email, and productivity software; familiarity with virtual meeting platforms and digital collaboration tools (e.g. Microsoft Platform)

  • Demonstrated innovative thinking and creative problem-solving in program development and service delivery, and able to navigate unique situations, dynamics, and logistics

  • Awareness of and sensitivity to the impacts of intergenerational trauma and the ability to incorporate trauma-informed practices into service delivery

  • Reliable registered vehicle, driver’s license, clean driver’s abstract and valid insurance

  • Valid First Aid

 

 

 

DUTIES & RESPONSIBILITIES

RESPONSIBILITIES TO ADMINISTRATION:

  • Develop annual operating budget and projected levels of service delivery

  • Monitor monthly expenditures and ensure spending is within predetermined parameters

  • Ensure personnel files are up to date and required documents are made available in the employee’s files held in the administration office

  • Ensure time sheets are completed and submitted to finance on time

  • Attend all GPFC Coordinator meetings

  • Approving expenditures within established budget

  • Submit monthly board reports to the Executive Director

  • Abide by all Policies and Procedures of the GPFC

  • Sit on, and actively participate in sub-committees

  • Submit proposals and letters as required

  • Develop program Policies and Procedures as required and review and update annually

  • Represent the program in public speaking engagements and community initiatives

  • Identify innovative approaches and lead pilot initiatives that align with Indigenous Head Start principles

  • Support long-term planning and organizational growth through strategic input and collaboration with the Executive Director

 

RESPONSIBILITIES TO PUBLIC HEALTH AGENCY OF CANADA (PHAC):

  • Build and maintain relationships with PHAC representatives and other stakeholders to support the ongoing program success and delivery

  • Submit cashflows and update Annual Operating Plan (AOP) annually or when necessary

  • Attend Alberta Aboriginal Head Start Association quarterly meetings, or when needed

  • Submit evaluations/progress reports of program as required

  • Communicate program outcomes and success stories through clear, impactful reports or presentations

 

RESPONSIBILITIES TO THE TEAM:

  • Lead all aspects of staffing, including interviewing, hiring, onboarding, training, and supervising team members

  • Provide ongoing guidance, mentorship, and supervision in alignment with organizational policies and expectations

  • Organize and facilitate regular staff meetings, including agenda preparation and review of meeting minutes before distribution

  • Conduct annual performance appraisals and goal reviews with staff

  • Approve time-off requests in consultation with the Classroom Supervisor and in accordance with established timelines, policies, and procedures

  • Provide staff support

  • Resolve team conflict in a professional and unbiased manner in accordance with policy and create supported team culture within the program

  • Provide ongoing support and training opportunities for team members

  • Accepts responsibility for ensuring that the organization is in full compliance with all licensing and safety regulations

  • Ensure that staff are respectful of children and parents, and that equipment and facilities are clean, safe and well maintained.

  • Monitor and record the numbers of children participating in the program

  • Keep current, accurate and confidential client and program files.

  • Ensure staff are provided with the required information and opportunities to complete mandatory and relevant training

  • Collaborate with the Classroom Supervisor to ensure programming is culturally grounded, child-centered, and inclusive of parental engagement

  • Work in conjunction with the Family Support Worker to ensure parents/families are receiving adequate and culturally appropriate support from our program, when needed

 

 

RESPONSIBILITY TO THE FAMILIES:

  • Ensure that parents/guardians are supported through advocacy

  • Establish and maintain professional communication with parents/caregivers by participating in a variety of formal and informal communication strategies (daily conversations, information sheets, social media, emails, etc.)

  • Encourage families to be proactive in their child’s education

  • Support families in times of crisis

  • Parenting sessions available as needed

  • Set up annual funds for parent training sessions

 

GENERAL RESPONSIBILITIES:

  • Accepts responsibility for ensuring that the program is in full compliance with all licensing, health and safety, transportation and fire regulations always

  • Work in conjunction with the (PAC) Parent Advisory Executive in monthly meetings and sub-committee meetings

  • Take a lead role in the promotion of services of the Grande Prairie Friendship Centre Aboriginal Head Start Program

  • Maintain a safe working environment for staff, clients and visitors and ensure the integrity of the facility and property of GPFC

  • Seek ongoing education opportunities which will enhance knowledge pertinent to role

  • To maintain professional development through formal and informal workshops, conferences, and other related training opportunities

  • To abide by all Policies and Procedures, AHS Staff Policies, Parent Handbook and GPFC Policies and Procedures

  • To maintain professionalism and confidentiality of all information related to the children, staff and parents, the program and other Grande Prairie Friendship Centre programs

  • Ensure social media posts are professional while following the sensitivities of individual families
