Executive Administrative Assistant

Overview

In existence since 1965, the Grande Prairie Friendship Centre exists to administer and implement programs to meet the needs of Indigenous people either migrating to cities or living in them, at the same time bridging cultural gaps between the Indigenous and the non-Indigenous community. The Centre also provides leadership and leadership opportunities to the Indigenous community.

Position Overview

The Executive Administrative Assistant will be responsible for ensuring the smooth running of our office by managing administrative tasks and supporting staff. The role requires excellent organizational skills, strong communication abilities, and a proactive approach to problem-solving.

Qualifications:

  • Office Administration certificate/diploma

  • Knowledge about the GPFC and its programs

  • Knowledge and appreciation for the Indigenous Culture

  • Knowledge about the services offered in Grande Prairie

  • Proficient in Microsoft Suite (word, excel, PowerPoint, outlook) and other office management software

  • Knowledge for not-for-profit societies, AGLC

  • Strong organizational and time-management skills

  • Excellent verbal and written communication skills

  • Ability to multitask and prioritize tasks effectively

  • Attention to detail and problem-solving skills

  • Ability to work independently

  • Class 5 drivers, clear drivers abstract

  • Ability to provide a cleared criminal record check and child and youth intervention check

Responsibilities:

  • Provide administrative support to ensure efficient operation of the office

  • Oversee office supplies, inventory, place orders as needed

  • Coordinate and schedule meetings, appointments, and travel arrangements

  • Ensure the office environment Is clean, organized, and conducive to productivity

  • Maintain and update database records and filing systems, (digital and physical)

  • Serve as the primary point of contact for internal and external communications, including answering inquiries and providing information across multiple communication platforms

  • Assist in the planning and coordination of events, meetings, and conferences

  • Assist with onboarding new employees, maintaining employee records, and supporting HR-related tasks as needed

  • Liaise with vendors and service providers as needed

  • Provide support for various projects and assignments as directed by management

  • Highly Proficient with technology, including the ability to set up laptops, desktops, cellphones, printers, and desk phones

  • Able to create lasting relationships with volunteers to assist in events

  • Comfortable reaching out to businesses for support

  • Confident in managing up to 30 volunteers at a time

  • Excellent record keeping & tracking
